ChatGPT Is Not Your Ops Team (And Pretending It Is Costs You)
Your team is pasting tickets into ChatGPT and calling it automation. That is research help, not operations. Here is the line—and how to cross it honestly.
I am not anti-ChatGPT. I use it. Our customers use it. The problem is category error.
Founders say: “We automated ops with ChatGPT.”
What they mean: someone pastes a messy Slack thread into a chat box, gets a tidy checklist, then manually does the work anyway.
That is not an ops team. That is a writing assistant for an overworked human.
Ops is a closed loop
Operations is not “good advice.” Ops is:
- Intake (ticket, lead, invoice, incident)
- Decision (priority, owner, policy)
- Action in systems of record
- Confirmation and follow-up
- Memory so the next person (or agent) does not start from zero
ChatGPT helps with step 2’s reasoning draft. It rarely owns 1, 3, 4, or 5 with your company’s credentials and audit trail.

You feel productive because the words got better. Throughput did not.
What an AI ops layer actually looks like
An AI operating system gives you roles that persist: Support, Sales, Ops, Finance—each with tools, memory, and policies.

- Agents when the deliverable is a state change customers can feel.
If your KPI is “hours saved typing,” chat wins. If your KPI is “time-to-resolution / lead response / month-end close,” chat is a sidekick—not the team.
What to do Monday morning
- List three workflows that still end with “someone copy-pastes into ChatGPT.”
- For each, name the system of record that must change.
- Require that change to happen via an integration—or admit the workflow is still manual.
Honesty beats cosplay. Call chat what it is. Build ops where work actually lives.
Operator appendix: shadow-AI inventory
Ask each function lead for tools used last week that hold customer data. If personal ChatGPT accounts appear, migrate those workflows to tenant-scoped agents with OAuth—or formally accept the risk in writing.
